The problem
Alpha Card wanted to streamline invoicing processes,move towards a near paperless workflow, and increasetheir overall efficiency. They recognized a majorbottleneck in their process was manually enteringinvoices into their ERP, NetSuite. The time spententering the invoice number, payment, and other fieldstook valuable time and left room for human error.
Alpha Card knew that these problems affectedtheir bottom line-they needed a solution.
The solution
After exploring the options in automation, Emma was the obvious choice for Alpha Card. Emma had experience working closely with their ERP, Net Suite, and had a specific product Bot created that matched their process exactly.
The Emma team met with Alpha Card and customized parsers to read their specific high volume vendor invoices. With these custom parsers, The Bot reads the invoices and enters them into Netsuite 100%accurate every time, saving the company worries regarding data entry errors.
Additionally, Alpha Card’s Net suite AP Bot gave them the opportunity to approve invoices within the Emma Portal and ensure all invoices were allocated to their correct GL accounts. These innovations that Emma offered made Emma the best choice for automation.
The results
Alpha Card immediately saw benefits from completely automating their accounts payable process. The bot processes thousands of invoices for them each month.
Alpha Card no longer worries about the influx of daily invoices; when an invoice is received to their AP email, they simply forward it to their Emma bot. This triggers the Bot to pull the pertinent details from the Invoice. From there, the Robot instantly posts their invoices with all relevant details in their Accounting System and uploads the invoice for record keeping. Having the Bot complete this task freed up Alpha Card’s employees to focus on other value adds and contribute to the company's overall growth.
Additionally, Alpha Card saw huge benefits from the transparency and ease provided by the reporting created by their Bot. Employees are easily able to see what was entered into their system and quickly tackle any invoices the Bot was unable to read.
